Pension Administration Finance & Operations Specialist - London hybrid - Immediate
Location: London / Hybrid
Contract: 6 months FTC
Start Date: Immediate
This role is with a UK-based pension administrator responsible for servicing members of a trust-based pension scheme regulated by The Pensions Regulator (TPR). The organisation operates across core defined contribution (DC) journeys, including retirements, drawdowns, transfers out, payroll, and contributions, supported by complex financial and operational processes.
Due to ongoing challenges across both pure finance processes (e.g. payroll, reconciliations, month end) and member journey-based processes (e.g. drawdown and transfer payments), we are seeking an experienced hands-on finance professional to join the team and drive tangible improvement.
This is a delivery-focused role for a confident “doer” - someone who can step into a fast-paced pension administration environment, diagnose issues quickly, stabilise processes, and work day-to-day with senior finance and operations SMEs on both the client and administrator sides.
Key Responsibilities
The successful candidate will take responsibility for remediating and improving operational and finance processes across the pension administration function, including:
Finance & Controls
Bank, unit, and fund reconciliations
Finance month-end close activities
Financial reporting and management information (MI)
Payroll processing and controls
Member contributions, investment allocation, and reconciliations
DC Member Journey Operations
Transfers out (cash and in-specie)
Retirement and crystallisation processing
Drawdown payment setup and execution
Trading exception management (including Equisoft)
Delivery & Stakeholder Management
Work hands-on to identify root causes of issues, resolving them through pragmatic process and control improvements
Face off confidently to finance SMEs, operations stakeholders, and third-party administrators
Drive day-to-day execution, prioritisation, and issue resolution
Support stronger governance, documentation, and control frameworks where required.
Skills & Experience Required
Strong finance background, ideally within pension administration, asset servicing, or regulated financial services
Deep understanding of defined contribution pension operations and member journeys
Proven experience with reconciliations, payroll, finance reporting, and month-end processes
Hands-on experience resolving operational and financial control issues at pace
Ability to operate autonomously and deliver under pressure in a complex, regulated environment
Confident communicator able to challenge and influence senior finance and operations stakeholders
Experience working with pension administration systems (e.g. Equisoft) strongly preferred
Personal Attributes
Pragmatic, delivery-led, and detail-oriented
Comfortable rolling sleeves up and “fixing” rather than advising from a distance
Strong ownership mindset with the ability to drive work end-to-end
Calm and structured approach in environments experiencing operational pressure
Why This Role?
Immediate start on a high-impact engagement
Opportunity to stabilise and materially improve core pension administration processes
Senior-level exposure and autonomy
Competitive salary
